Every Learning Journey is assigned to one of the seven BVDW Academy learning paths. This means that each journey is not only part of the DMEXCO program but is also embedded within the BVDW Academy’s year-round educational roadmap. As a result, the topics continue to have an impact beyond the trade fair, creating additional context for both exhibitors and participants.

FAQ Exhibitor

How do we book the Learning Journey as an exhibitor?

You can book your Learning Journey via our online booking form. Your booking is binding, provided that free slots are still available.

In the booking form, we ask for:

  • Your (working) title for the Learning Journey
  • The content of your Learning Journey
  • Your criteria for the participant profile
  • Your company profile (1,000 characters)
  • Company logo

When booking, you will also provide your company details, billing information, and the contact details of the responsible person. We will then get in touch with you afterwards.

What information is required from the exhibitor after booking?

After booking, we will contact the designated contact person and ask them to provide information for the tour host briefing. The following information will be requested at the appropriate time:

  • Please provide your hall and booth number
  • Who will be the presenter/speaker? (Name, position)
  • If the speaker does not speak German, please let us know so that we can indicate this in the program
When will the invoice for the Learning Journey be issued?

The invoice for the Learning Journey will be issued a few days before the conference begins, once the tour planning has been finalized. The invoice is payable within 14 days. If a PO number or purchase order reference is required for the invoice, you can provide it during the booking process under the billing information section.

Do exhibitors receive a briefing?

Before and after booking the Learning Journey, we stay in close contact regarding the process, content, and participants.

Do we coordinate with the Tour Host in advance?

Once all Learning Journey content has been finalized, we will approach suitable experts for the role of Tour Host. Once a Tour Host has been confirmed, we will arrange a briefing call between the exhibitor and the Tour Host.

Are the Learning Journeys technically equipped?

Yes. All tour hosts are equipped with transmitters and microphones. The exhibitors’ speakers are also provided with microphones. This ensures that participants can always clearly hear the content via headsets without being too disturbed by the noise of the exhibition environment.

FAQ Tour Hosts

How do you become a Tour Host?

For each tour, we are looking for experts who introduce participants to the topic of the Learning Journey, announce/present the exhibitor, and guide participants to the exhibitor area. Experts from the BVDW working groups are preferred.

If we cannot find suitable candidates within our member companies, we are also open to appointing individuals outside of the BVDW for this role. If you are interested, simply contact us via email at dmexco@bvdw.org. We look forward to hearing from you!

What are the responsibilities of the Tour Host?

Tour Hosts guide the participants of a Learning Journey to the exhibitor. The meeting point is the BVDW Academy area at the BVDW stand in the boulevard.

The route to the exhibitor area should be used to:

  • introduce the participants to the topic of the Learning Journey in a professional way
  • announce/present the exhibitor

Experts from the BVDW working groups are preferred. Of course, the tour host may also introduce themselves and draw attention to their own company.

Detailed information about the Learning Journey will be shared in the briefing with the exhibitor.  

Are the Tour Hosts briefed?

Once all content of the Learning Journey has been agreed with the exhibitor, we look for a suitable expert to act as Tour Host. Once this person has been found, we will initiate a briefing call between the exhibitor and the Tour Host to clarify detailed questions about the content of the Learning Journey.

Do Tour Hosts receive the contact details of the participants?

No. This service is reserved for exhibitors. However, if the opportunity arises, you may share your business card / LinkedIn profile with the  participants at the beginning or end of a tour. 

Do Tour Hosts receive a conference ticket?

Yes, each Tour Host receives a free two-day conference ticket.

Are the Learning Journeys technically equipped?

Yes. All tour hosts are equipped with transmitters and microphones. The exhibitors’ speakers are also equipped with microphones. This ensures that participants can always clearly understand what is being said via headsets without being too disturbed by the noise of the exhibition environment.
